How to Run Morning Huddles That Actually Energize Your Team

By: Kyle Summerford

Introduction

Let’s be honest most morning huddles in dental offices are messy. They start late, run long, and leave everyone more confused than before.

But when done right, a 10-minute huddle can transform your day improving communication, patient flow, and morale.

Here’s how to go from chaos to calm with a system that works for every practice size.

1. Start with a Structure

A good huddle has a rhythm: yesterday, today, tomorrow.

Kyle’s Story: I once ran huddles without an agenda we’d drift into side topics or complaints. Once we used a simple 3-section checklist (patients, production, priorities), everything changed.

Action Steps:

  • Start on time, no exceptions.

  • Review the previous day’s successes/challenges.

  • Cover today’s schedule, opportunities, and goals.

2. Keep It Short and Focused

Ten minutes or less is ideal. Any longer, and people disengage.

Action Steps:

  • Use a timer if needed.

  • Stand instead of sitting to encourage pace.

  • End with one “focus word” (team, calm, excellence, etc.).

3. Assign Clear Roles

Everyone contributes but within boundaries.

Roles Example:

  • Doctor: clinical priorities, production targets.

  • Hygienist: preventive care notes and follow-ups.

  • Manager: logistics, scheduling, and quick wins.

Action Steps:

  • Rotate who leads each day.

  • End with one motivational takeaway.

4. Track Impact

You’ll know the huddle works when communication errors drop.

Action Steps:

  • Record recurring issues from huddles.

  • Use that data for staff meetings.

  • Celebrate improvements publicly.

Conclusion

A structured, consistent morning huddle turns chaos into clarity. The tone you set in those first 10 minutes determines the rest of the day.

Key Takeaways:

  • Structure beats spontaneity.

  • Ten minutes is the sweet spot.

  • Everyone contributes, but no one dominates.
